We are looking for an organised and detail-focused Project Procurement Support professional to support the procurement workstream of a major central government Facilities Management transformation programme.
This is an excellent opportunity for someone with strong project administration, tender documentation support, document drafting and version control experience who is comfortable working within a high-profile public sector environment.
Role Overview
This is a support-level role within the procurement workstream of a complex Facilities Management transformation programme covering a large and geographically dispersed office estate.
The role will focus on providing practical project and procurement support throughout the tender phase. You will work alongside a small in-house commercial team, helping to draft, prepare, maintain and control tender documentation while ensuring information is accurate, consistent and managed appropriately.
This is not a procurement lead role. The successful candidate will provide reliable support to senior colleagues, maintain strong document discipline and help keep procurement and tender activity organised and on track.
What you’ll be doing
- Provide day-to-day project and procurement support to the procurement workstream.
- Support the drafting, preparation, review, formatting and maintenance of tender documentation under the guidance of senior commercial and project leads.
- Manage document version control, approvals, updates and audit trails across the tender process.
- Maintain action trackers, meeting records, document registers and workstream plans.
- Coordinate meetings, circulate papers and capture clear actions, owners and deadlines.
- Support the preparation and collation of procurement packs, tender documents, governance papers, reports and stakeholder communications.
- Help ensure tender documentation is complete, accurate, consistent and ready for review within agreed timescales.
- Work closely with the in-house commercial team and wider programme stakeholders.
- Monitor progress against agreed actions and escalate risks, gaps or delays where required.
- Support the administration of procurement governance, tender milestones and decision-making activity.
- Maintain confidentiality and handle sensitive information appropriately within a central government setting.
- Provide flexible project support across the wider procurement workstream where priorities require it.
What we’re looking for
- Strong experience in project support, project coordination or procurement support.
- Experience supporting public sector procurement and tender documentation activity.
- Demonstrable experience drafting, formatting, reviewing and maintaining formal tender or procurement documents.
- Strong document management and version control discipline.
- Excellent organisational skills, with the ability to manage multiple actions, deadlines and stakeholders.
- Confidence working to senior officer-grade expectations within a public sector environment.
- Strong written communication skills and attention to detail.
- Experience maintaining trackers, document registers, governance records and project documentation.
- The ability to work effectively within a small team while supporting senior colleagues.
- Strong Microsoft Office skills, particularly Word, Excel, PowerPoint and Teams.
- Experience within Facilities Management, estates or operational service environments would be advantageous.
- Willingness to travel across the UK, including regular attendance at key offices in London and Birmingham.
