Define it
The Environmental Planning team was facing various challenges due to the lack of a centralised stakeholder management solution. Challenges included:
- Absence of a centralised repository for external stakeholder data
- Inconsistent recording of stakeholder interactions across project phases
- Limited visibility of external stakeholders across different regions
- Potential for inconsistent responses to stakeholder inquiries
- Inefficient stakeholder management processes using tools like MS Excel
Improve it
CI Projects’ Digital Project Manager instilled a robust project management discipline within the internal low-code development and project delivery teams. This involved fostering collaboration between internal teams, as well as external suppliers who supported on architectural design to ensure timely and efficient delivery. By assuming a pivotal role in coordinating teams and managing key stakeholders, from the project sponsor to subject matter experts, CI Projects drove project progress, mitigated risks, and facilitated informed decision-making. Adherence to internal governance standards was paramount, as was maintaining open communication and transparent reporting to all stakeholders.
Leveraging project management tools such as Microsoft Project and Planner, we effectively planned, tracked, and managed project deliverables. These platforms facilitated clear task allocation, dependency mapping, and progress monitoring, ensuring the project stayed on schedule and within scope.
Sustain it
We ensured the benefits were sustained through the following approaches:
User adoption: Comprehensive training sessions and a detailed user manual were provided to facilitate system adoption and utilisation.
Organisational integration: Communications were disseminated to Heads of Countries to ensure seamless integration of the CRM system into business-as-usual operations.
Ongoing support: A dedicated managed support service was established to provide ongoing assistance to users post-hypercare.
Key benefits
- Enhanced stakeholder record management and accessibility
- Improved alignment between the Environmental Planning team and other departments
- Strengthened organisational support for integrity and respect values
- Increased efficiency and reduced time spent on manual data management
